How much space do we need to have a bell tent?


For one of our standard 5x5m Bell Tents, you’ll need a flat piece of ground that’s around 7x7m. If space is a little tight we can generally work around it by feeding tent ropes through fences etc. You will also need a clear 2.5m overhead to allow for the tent's height.

It's important to check there is no concrete or pipes underground that will affect pegging too.




How many guests can be accommodated?


We have two size options for our low-set, wooden tables which allow us to configure a setup to suit your group size. The following is a rough guide to tables & seated spaces but ultimately depends on the type of set up you have in mind: 1 x small table fits 2-4 2 x small tables fits 8 (or more if tables are separated) 1 x large table fits 8 2 x large table fits 14 (or more if tables are separated) We estimate a maximum of 20 people can sit comfortably inside the tent (with minimal furniture), but if your event has guests flowing in and out, then a number limit won't really apply.

For our catering services, please get in touch with your numbers so we can work out your best options for grazing goodness! If you have something specific in mind, don’t be afraid to ask! We'd love to work with you to create your special event.




What happens if the weather is not cooperating?


We will do our very best to make the show go on, but if Fox & Sage deem the forecast or conditions to be unfavourable (and pose a threat of damage) for set up, hire period or pack down, then we reserve the right to refuse setup and will insist on relocating or rescheduling. A backup plan MUST be arranged well in advance.

Rescheduling the event will be dependent on availability. If an agreeable arrangement cannot be made, then we will return any refundable monies.

Any unused items due to weather will not be refunded (e.g. tent).




What's the deal with payments and cancellations?


Booking Fee:

Once you are happy with and have accepted your quote for our services, we ask that you pay a non-refundable 20% booking fee to secure your chosen event date and the items you want to feature in your setup. Remaining amount for services due 14 days prior to event.

Security Bond:

Every booking through Fox & Sage Pop-up Events is required to pay a Security Bond. Bond amount is assessed based on the individual order. This amount is due no less than seven (7) days prior to the event.

Cancellation:

In the event of cancellation of the Booking by the Hirer, the abovementioned Booking Fee paid is non-refundable. Any refunds will incur a $30 administration fee; your refund amount will be less this amount. Cancellations 30 days (or more) prior to the Rental Period will be eligible for a refund, less the non-refundable Booking Fee and the administration fee. Cancellation within 30 days prior to Rental Period will be refunded the delivery charge only. The dollar amount for services & equipment will not be refunded in this case as this is considered loss of opportunity.




How long is the hire period?


The minimum hire time differs between our packages and can be found on the package's webpage. If, for example, it is 3 hours, then you will enter your dreamscene at the agreed upon time, and then we will be there to pack down after all the fun, 3 hours later.

We plan our set up times carefully and require every minute of the time to perfect your space You will be able to enter your perfectly styled event space at the start of your hire period. If you have any items you would like to add (e.g. decorations, platter, drinks etc.) then these will need to be added once the hire period begins. Especially if you have provided your own eats & drinks, the general clean-up of the space will also need to occur in the hire period.

Have another vendor bringing something special to the space? Just keep in mind this will also have to take place once hire period commences. If you would like us to perform a collaborative setup so everything is ready at once, we can arrange this as part of our extra coordination services. Contact us to discuss your specific needs!




What areas do you deliver to?


Fox & Sage delivers from Coast to Coast in south-east Queensland and inland too!


Our delivery fees vary depending on the location of your event and the actual items hired.

To give you an idea of how we price our deliveries we take into consideration the following:

  • Items for hire packages usually take between 0.5-1 hour to load in the trailer with two people.

  • Travel to your event location from our storage site

  • Arrive and unload your hired items may take (up to) another hour, depending on proximity from trailer/vehicle to site.

  • And then returning for pack-down, all of the above takes place again.

We do our absolute best to try and make your delivery and pickup fee affordable and certainly do not use delivery charges to make a profit.

Depending on your location there may be a minimum spend requirement.

Do we have to have the tent floor attached?


We know, we know. Mention 'Queensland summer' and 'tents' in the same sentence and its enough to get a sweat going. Chill! Our bell tents can have the floor removed and/or the sides rolled up to make a lighter and breezy space. Did we mention our tents are the perfect shelter from the sun if your desired location lacks shade? Cause they totally are.




Can I keep the party going & extend the hire period?


Who are we to stand in the way of a good party?!

You can most definitely make a request to extend your hire time (or to make time changes, for that matter) up until the event date, however, we may not always be able to accommodate the request and appreciate your understanding in these instances.

Can we substitute items or leave out the bell tent from a package?


You will find our packages are neatly bundled into discounted options, but if you would prefer to have a tent-free setup then we can certainly customise a quote for you.

We do have our catered picnic package (with tent-free option) which can be found under "Bridal & Baby Blessings" on the website. By no means are these packages exclusively for such events, they were just created with ultimate ease for the organiser in mind!

What happens if something is damaged during hire?


If an item is unreturned, broken or damaged beyond repair, payment of full replacement value (and sourcing fee) is required within seven (7) days. Hirer’s Bond will be refunded once payment is cleared or alternatively the Bond can be used towards the payment once this timeframe lapses. If an item is returned damaged but repairable, Hirer will be sent an invoice for the cost of repairs and payment is required within seven (7) days. Hirer’s Bond will be refunded once payment is cleared, or alternatively the Bond can be used towards the payment of invoice once this timeframe lapses.
